Notice of DoLS Pilot – Use of Magic Notes Tool
The South Gloucestershire DoLS Team will shortly be running a small pilot using Magic Notes, a digital note taking tool designed to help Best Interest Assessors (BIAs) complete assessments more efficiently.
What this means for your care home
As part of the assessment, BIAs may use Magic Notes to record conversations with care staff, or family members. The recording simply captures the discussion and produces a written summary to support accurate note taking. This allows BIAs to focus more on the conversation itself and less on writing things down afterwards.
Recordings can be paused or stopped at any time, and BIAs will always explain what they are doing before recording. Someone can decline to be recorded, and this will not affect the assessment or the support they receive.
Data protection and confidentiality
Magic Notes does not store recordings long term.
The recording is only used to produce a written summary; once checked, it is securely deleted within 40 days.
No data is shared with third parties, and recordings are not used to train AI models.
All information remains confidential and compliant with council data handling requirements.
This pilot will help the team improve the timeliness and quality of DoLS assessments, especially given current demand pressures. We will keep you updated as the project progresses.
